How to Order Custom Ceramic Cups and Mugs with Your Logo

Custom-logo ceramic cups and mugs are one of the most popular private-label products for homeware brands, corporate gifting companies, coffee shops, hotels and subscription box businesses. The process is more straightforward than many buyers expect โ€” but getting the details right at the start saves significant time and cost later.

This guide walks you through every step, from artwork file to finished product.

Step 1: Choose Your Decoration Method

Before anything else, decide how you want your logo or design to appear on the ceramic. The three main methods for wholesale custom ceramic orders are:

Decal (Ceramic Transfer Print)

Your logo or design is printed onto a special ceramic decal paper and fired onto the glaze at 700โ€“800ยฐC. This is the most versatile method โ€” it handles full-colour photographic images, fine linework, Pantone colours and complex multi-element designs.

  • Durability: Very good (dishwasher-safe with under-glaze application)
  • Minimum order: 300โ€“500 pcs per design (screen setup cost amortised over volume)
  • Lead time for decal screen: 5โ€“10 days after artwork approval
  • Best for: Branded merchandise, corporate gifts, branded hotel amenities, subscription boxes

Embossing / Relief

Your logo is moulded directly into the ceramic body โ€” the design is raised from the surface. This requires a custom mould and is typically used for high-end branded pieces where the brand identity is part of the object itself.

  • Mould cost: USD 200โ€“600 (one-time, amortised)
  • Minimum order: 500โ€“1,000 pcs
  • Best for: Luxury brands, long-term collections

Custom Glaze Colour

Your signature brand colour is matched to Pantone and mixed as a custom glaze. The piece is entirely your brand colour โ€” no printed logo, but unmistakably “yours” in colour.

  • Minimum order: 300โ€“500 pcs per colour (full glaze batch needed)
  • Best for: Brands with strong colour identity, lifestyle retailers, hotel collections

Step 2: Prepare Your Artwork File

For decal printing, send your factory a vector file (AI, EPS, or PDF) with:

  • All fonts converted to outlines (paths)
  • Colours specified as Pantone (PMS) codes, not RGB or CMYK
  • The exact size and position you want on the cup (e.g., “centred, 40mm wide, 30mm from top”)
  • A mock-up image showing the desired result (even a rough sketch helps)

Important: Ask the factory to send you a colour proof (digital mock-up on a cup photo) before they produce the decal screen. This is free and catches placement or colour issues before any money is spent on tooling.

Step 3: Order Pre-Production Samples

Never skip sampling. A pre-production sample typically costs USD 30โ€“80 per piece (deductible from your first order) and takes 10โ€“15 days to produce. It lets you:

  • Check the actual colour match to your Pantone spec
  • Feel the weight, balance and handle ergonomics
  • Verify the decal registration and position
  • Check glaze quality and surface finish
  • Test packaging fit if you have a custom box

Once you approve the pre-production sample in writing, mass production begins.

Step 4: Confirm Packaging

Packaging decisions must be made before production starts, as the carton dimensions are built around the packaging format. Options include:

  • Standard brown export carton: Lowest cost. Suitable for B2B shipping to distributors.
  • Individual gift box (custom printed): Increases perceived retail value significantly. Requires 2โ€“3 week lead time for box printing.
  • Inner foam/divider insert: Protects the cup in transit. Essential for bone china.

Step 5: Place the Production Order

Once samples are approved, confirm:

  1. Exact quantity per SKU
  2. Packaging spec and carton markings
  3. Payment terms (typically 30% deposit, 70% before shipment)
  4. Delivery port (FOB Shantou or FOB Guangzhou for Chaozhou manufacturers)
  5. Inspection arrangement (in-factory QC or third-party like SGS)

Typical Timeline Summary

Stage Duration
Artwork approval + decal screen production 5โ€“10 days
Pre-production sample 10โ€“15 days
Sample review + approval 3โ€“5 days (your side)
Mass production 25โ€“40 days
Sea freight to Europe/USA 20โ€“30 days
Total (first order) 60โ€“90 days

For repeat orders with the same design, production time reduces to 15โ€“25 days as tooling already exists.

Fiona Lian — Sales Manager, Artstar HomewaresThe most common mistake buyers make when submitting logo files for ceramic decals: they send a PNG screenshot instead of a vector file. On a computer screen it looks fine. On a 90mm mug, the edges pixelate badly. We can fix simple logos, but complex artwork genuinely needs a proper vector source. If your designer sends you an EPS or AI file, that’s the one to send us โ€” not the JPEG you exported for the website.
